Probation Case Administrator – Middlesex Juvenile Court | Massachusetts Trial Court

The Tone:
This is a full-time, entry-level role at Massachusetts Trial Court, located primarily in the Middlesex Juvenile Court, which covers sessions in Cambridge, Lowell, Framingham, and Waltham. The Massachusetts Trial Court is a judicial system dedicated to protecting and building safer, healthier, stronger communities. As a Probation Case Administrator, you will provide essential administrative support and data entry for probation case processing, directly contributing to the efficient operation of the court and service to the public and legal professionals. Your work ensures accurate record-keeping and smooth court procedures.

What You’ll Actually Do
• Customer Service: Provide professional customer service at the front counter and over the phone to coworkers, lawyers, law enforcement, and the general public.
• Data Management: Perform entry-level data entry processes, run data queries in the CARI system, and update records and orders in various automated systems including MassCourts.
• Case Processing: Assist Probation Officers with closing cases, opening case assignments, and preparing relevant documentation for court sessions.
• Administrative Support: Receive, sort, and distribute incoming mail, process outgoing mail, and manage the copying, filing, and retrieval of court papers and documents.
• Information Retrieval: Request information from other agencies, departments, or courts, and run indigency reports to support Probation Officers.

The Must-Haves
• Background: High School diploma or G.E.D. equivalency; foundational understanding of office administration.
• Experience: One (1) year of related work experience; familiarity with modern office equipment and technology, including computers and applicable software.
• Skills: Strong organizational skills, excellent customer service abilities, attention to detail, and the ability to communicate effectively both orally and in writing.
