The Tone:
This is an entry-level position at Randstad USA, located in Malvern, PA, with a hybrid schedule. This role serves as the operational anchor for a leadership team, ensuring seamless coordination and proactive support. The specialist will anticipate needs and manage complex logistics to keep the management team precisely where they need to be, precisely when they need to be there. This role is critical for ensuring the smooth operation and efficiency of the leadership team, allowing them to focus on strategic initiatives without logistical interruptions.

What You’ll Actually Do
• Calendar Management: Strategically manage corporate calendars, scheduling internal and external meetings for assigned leadership accurately and efficiently.
• Conflict Resolution: Audit leadership schedules at least two weeks in advance to identify, flag, and proactively resolve any scheduling conflicts.
• Meeting Logistics: Ensure all accompanying meeting resources, including conference room bookings and tech setups, accurately shift when a meeting time is updated.
• Travel Coordination: Formulate thorough, forward-thinking business travel arrangements, embedding all granular details directly into the manager’s calendar.
• Workflow Prioritization: Independently organize and prioritize daily administrative workflows to seamlessly adapt to shifting corporate priorities.

• Background: Entry-level administrative professional with a sharp eye for detail.
• Experience: No specific years required, but must possess a proactive mindset.
• Skills: Exceptional organizational and time-management abilities; Strong written and verbal communication abilities; Proficiency with standard office software like Microsoft Office 365 and Google Workspace; Ability to handle confidential information with discretion; Ability to work independently in a hybrid environment.
