Office Manager | Kiewit

The Tone:
This is a full-time role at Kiewit, located in Costa Mesa, CA. Kiewit is a leading infrastructure company specializing in heavy civil projects, including earth moving, water/wastewater, transportation, roadways, and power projects across the Southern California region. This role is vital for providing comprehensive office administration support to a growing construction and engineering group, ensuring efficient daily operations and a well-managed office environment. The successful candidate will act as the first point of contact for the district office and contribute significantly to team productivity.

• Team: Administration Department, supporting the Southern California District construction/engineering group.
• Mission: To provide exceptional office administration support, manage front desk operations, and maintain a well-organized office for a fast-paced construction/engineering group.
• Tech Stack: Microsoft Office products (Word, Excel, PowerPoint, Visio, SharePoint), Adobe products (Acrobat, InDesign)

What You’ll Actually Do
• Front Desk Management: Manage front desk and reception operations, serving as the primary point of contact for guests, employees, candidates, and vendors.
• Onboarding & HR Support: Coordinate new hire onboarding processes and assist the HR/Business team with employee inquiries, attendance tracking, and time off requests.
• Office Maintenance & Supplies: Oversee the cleanliness, stocking, and organization of the office, including kitchen, conference rooms, communal areas, and ordering supplies.
• Information & Coordination: Manage office information flow between building management and staff, and coordinate schedules, travel arrangements, and expenses.
• Event Support: Coordinate and arrange meetings, organize catered meals, and support the planning and execution of conferences and events.

The Must-Haves
• Background: Entry-Level. High school diploma with at least 3 years of applicable executive-level support experience, preferably within engineering, construction, or oil/gas/chemicals fields.
• Experience: 3+ years of executive-level support experience; demonstrated experience in planning and managing meetings within a fast-paced environment.
• Skills: Proficient in Microsoft Office products including Word, Excel, PowerPoint, Visio, and SharePoint; strong time-management skills and multitasking ability; positive, proactive team participant with the ability to maintain strict confidentiality; capacity to independently execute work with minimal oversight and proactively assess office and personnel needs.
• Bonus: Familiarity with Adobe products, specifically Acrobat and InDesign, is preferred.
