Office Manager | Academic Tutoring Centers, Highland Park

The Tone:
This is a full-time role at Academic Tutoring Centers, located in Highland Park, with some flexibility to work remotely. ATC provides both in-person and online tutoring, drawing on the expertise of former teachers to deliver support for test prep, college essay writing, and academic subjects ranging from elementary school to college. This Office Manager position is essential for maintaining the operational backbone and ensuring smooth communication, allowing ATC to nurture each student with dedicated support and the extensive resources of a professional center.

What You’ll Actually Do
• Office System Management: Support comprehensive company operations by establishing and maintaining highly organized office systems, operations, and procedures, including the design of efficient filing systems and control of correspondence.
• Team Leadership & Coordination: Supervise the administrative and clerical team, fostering a collaborative environment, and actively coordinate communication between team members, students, parents, and schools.
• Operational Administration: Oversee critical daily office services by accurately preparing payroll, assigning and monitoring clerical functions, and effectively completing operational requirements like scheduling and assigning tutors.
• Efficiency & Policy Development: Drive continuous improvement in office efficiency through planning and implementing new office systems, optimizing office layouts, strategically procuring necessary equipment, and designing robust office policies by establishing standards and making necessary adjustments.
• Strategic Reporting & Training: Keep management well-informed by diligently reviewing and analyzing special reports, summarizing key information, identifying important trends in operations, and meticulously onboarding and training new employees to ensure consistent performance.

The Must-Haves
• Background: Bachelor’s Degree. This is a managerial level role focused on comprehensive office administration and operational oversight.
• Experience: Proven experience with administrative assistance and office administration, including scheduling, thorough record-keeping, and organizing complex office workflows.
• Skills: Strong verbal and written communication skills for clear interaction with students, families, and team members; proficiency with common office software (e.g., word processing, spreadsheets, email, and scheduling tools); strong organizational skills, meticulous attention to detail, and the ability to manage multiple tasks effectively in a busy environment.
• Bonus: Prior experience in an educational or tutoring setting is beneficial but not required.
