The TL;DR
• Role: Administrative Assistant III
• Location: In-person, Boston, MA
• Pay: $21.63–$29.11 hourly
• Team: HCM and Genetics team within the BIDMC Cardiovascular Medicine Division.
• Mission: This role provides essential administrative and patient coordination support to ensure efficient operations for the Hypertrophic Cardiomyopathy and Genetics team.
• Tech Stack: Microsoft Office (Outlook, Word, Excel, PowerPoint, Access), Web OMR, CCC system
What You’ll Actually Do
• Manage Communications: Answer and screen incoming telephone calls, take accurate messages, and greet and guide patients, families, visitors, and staff, responding to requests promptly with clear, accurate information.
• Coordinate Patient Services: Update patient demographic and insurance information, obtain necessary specialist referrals for appointments, and schedule and coordinate patient and ancillary appointments by collaborating with other hospital staff.
• Maintain Records and Information: Obtain patient information and materials from referral sources, prepare and maintain patient records for clinical activities, act as a liaison with other departments and external customers, and handle confidential information appropriately while explaining policies.
• Provide Administrative Support: Maintain physician administrative and clinical calendars, type correspondence, manuscripts, and documents that may require complex formatting, compose routine correspondence, and prepare and distribute materials for meetings and committees.
• Assist Clinical Practitioners: Queue prescriptions for renewal and perform the initial review of medication listings for accuracy in the electronic medical record (Web OMR), and transcribe letters and patient notes for physicians or facilitate them in the CCC system.
The Must-Haves
• Background: Requires a High School diploma or GED.
• Experience: 3-5 years of related work experience, with proficiency in computer systems, web-based applications, and Microsoft Office applications including Outlook, Word, Excel, PowerPoint, or Access.
• Skills: Strong written and oral communication in English, ability to demonstrate full working knowledge of standard concepts and policies, collaborative teamwork, and excellent customer service skills including active listening and problem-solving.
• Bonus: An Associate’s degree is preferred.
