Maintenance Systems Coordinator | Pattern
The Tone:
This is a full-time role at Pattern, located in Bethlehem, PA. Pattern, through its company Reach Logistics, is a global eCommerce logistics and strategy company that partners with some of the world’s largest brands to distribute products across major platforms. This role is crucial as it serves as the central nervous system for maintenance operations across multiple automated warehouse sites, owning the structure, data quality, and optimization of the Computerized Maintenance Management System (CMMS).

What You’ll Actually Do
• CMMS Administration & Optimization: Own the structure, data quality, and continuous improvement of the MaintainX CMMS across multiple automated warehouse sites. This includes managing asset hierarchy, scheduling preventive maintenance (PMs), creating work orders, and user management to ensure optimal system performance.
• Data Accuracy & Reporting: Conduct regular audits of data accuracy, closeout rates, and compliance with PM schedules. Develop comprehensive reports and dashboards to track critical maintenance metrics such as downtime, completion rates, Mean Time Between Failures (MTBF), and Mean Time To Repair (MTTR).
• Standardization & Training: Standardize naming conventions, task templates, and parts lists to ensure cross-site consistency and efficiency within the CMMS. Provide essential training and ongoing support to site maintenance teams on CMMS usage and best practices.
• Coordination & Asset Lifecycle Support: Collaborate closely with Facilities Managers and Technicians to ensure timely PM completion and accurate recordkeeping. Support the onboarding of new assets and systems during site launches or retrofits, and assist the Engineering Manager with document control, asset commissioning records, and initial preventive maintenance setup for new equipment. This also involves creating and maintaining an organized system for record keeping related to base building, regulatory inspections, and utilities.
• Procurement & Inventory Management: Manage the spare parts inventory across three sites, ensuring availability and accuracy. This includes purchasing spares, tools, and project materials as needed, and onboarding new vendors into schedules and the payment platform.
The Must-Haves
• Background: An early-career, technically minded problem-solver with a foundational understanding of maintenance operations. This role is ideal for an individual eager to build expertise in industrial automation systems and progress toward a career path as a Controls or Reliability Specialist.
• Experience: Proven experience in Computerized Maintenance Management System (CMMS) administration, with specific familiarity in MaintainX, including managing asset hierarchies, scheduling preventive maintenance, and creating work orders. Demonstrated ability to ensure data quality, conduct audits, and develop reports.
• Skills: Highly organized and systems-minded, with strong capabilities in data accuracy, analysis, and reporting. Must possess excellent problem-solving abilities and the capacity to effectively train and support maintenance teams on CMMS usage.
• Bonus: A strong desire to learn fundamentals of controls and automation systems and support their integration with CMMS tools. Interest in participating in root cause analysis (RCA) reviews and identifying workflow automation opportunities, including remotely monitoring equipment alarms and dispatching solutions.
