What You’ll Actually Do
• Document Review and Data Entry: Conduct thorough reviews of various legal documents, extracting essential information and interpreting metadata, before accurately uploading all relevant data into designated internal databases. This ensures information is readily accessible and correctly categorized.
• Reporting and Data Access: Generate comprehensive reports upon request by effectively querying and consolidating data from different internal databases, providing timely and accurate information to support departmental decisions.
• Document Lifecycle Management: Prepare legal documents for formal execution by ensuring all necessary details are correct, and then diligently follow up with relevant parties to secure fully executed versions for record-keeping.
• Administrative and Audit Support: Provide essential administrative support by gathering and supplying requested documents for processes like bank account openings. Additionally, complete scheduled audits of internal databases and assist with broader departmental audit requests or specific projects as needed to maintain data integrity.
• Stakeholder Communication and Coordination: Serve as a crucial backup to the records coordinator, professionally responding to and effectively liaising with both internal teams and external stakeholders to facilitate efficient document retrieval requests.

The Must-Haves
• Background: Bachelor’s Degree required. This role demands a candidate with robust foundational experience in legal documentation and a strong understanding of best practices for comprehensive document management.
• Experience: Demonstrated experience with document scanning and accurate database uploads is essential. Crucially, prior experience utilizing DocuSign or a strong willingness and ability to quickly learn this platform is required for success in daily tasks.
• Skills: Proficiency in Microsoft Office Suite, strong attention to detail, and exceptional written and verbal communication skills are mandatory. Candidates must also exhibit excellent interpersonal skills, sound judgment, confidentiality, discretion, initiative, and analytical abilities, coupled with effective multitasking skills and the capacity to work efficiently under pressure, both independently and collaboratively.
• Bonus: Familiarity with various types of legal documents and prior professional experience operating within a regulated environment is preferred.
