Legal Assistant | RJ-Staffing

The Tone:
This is a full-time role at RJ-Staffing, located in Bergen County, NJ. RJ-Staffing is partnering with a premier Bergen County law firm, renowned for its over 30 years of dedicated service to clients in the community, with a specialized focus on Estate, Trust, and Elder Law. This Legal Assistant position is a critical support function within the firm’s established Estate/Trust/Elder department, playing a vital role in ensuring the efficient flow of legal processes, meticulous document management, and exceptional client satisfaction.

What You’ll Actually Do
• Draft Legal Documents: Provide crucial support to the Estate/Trust/Elder department by accurately drafting a variety of essential legal documents, including wills, trusts, and powers of attorney, ensuring all legal requirements are met.
• Manage Probate Filings: Oversee and manage all aspects of probate filings, which involves preparing and submitting necessary documentation and maintaining consistent communication with clients throughout the probate process.
• Perform Administrative Support: Execute a wide range of general administrative tasks vital for daily operations, such as managing email correspondence, efficient filing, meticulous scanning, accurate copying, and precise document collation.
• Assist with Asset Management: Support the careful process of transferring assets into various trusts and diligently maintain detailed, up-to-date trust records to ensure legal compliance and client peace of mind.
• Calendar & Deadline Management: Proactively maintain attorney calendars, efficiently schedule client meetings, and rigorously track important legal deadlines to ensure all departmental commitments and case milestones are met on time.

The Must-Haves
• Background: An established professional possessing a minimum of 2 years of substantive legal administrative assistant experience, specifically gained within a law firm setting, demonstrating a foundational understanding of legal support operations.
• Experience: Requires at least 2+ years of verifiable experience in a legal administrative assistant capacity, coupled with demonstrated proficiency in drafting legal documents and performing comprehensive office management tasks.
• Skills: Exhibits an extremely detail-oriented approach to all tasks, alongside superior organizational capabilities for managing complex legal files and schedules. Must be highly proficient and savvy with computer systems, particularly Microsoft Office Suite, and possess excellent listening skills for accurate task execution and client interaction.
