CoverPoint Insurance Solutions is actively seeking an Insurance Operations Support Specialist to join their P&C Insurance CUSO department. This role is crucial for providing essential administrative, data entry, and transactional support to the insurance operations team.
Role Overview
The Insurance Operations Support Specialist is responsible for executing defined workflows, ensuring the maintenance of accurate records, and assisting licensed service and sales staff by managing routine back-office tasks according to established procedures. This position is ideal for individuals who are detail-oriented, enjoy working within structured processes, and are committed to maintaining high standards of data accuracy and operational efficiency.
Key Responsibilities
Policy and System Support (70%)
- Accurately enter and update insurance policy, account, and transaction data within agency management systems and carrier platforms.
- Process daily downloads and complete assigned system maintenance tasks following documented procedures rigorously.
- Upload and organize various policy-related documents, including applications, endorsements, billing documents, and renewal materials.
- Verify the completeness and accuracy of records using established checklists and escalate any discrepancies for review by appropriate personnel.
- Enter claim information and update payment records based on carrier documentation or supervisor instructions.
- Prepare renewal records and route renewal documentation to licensed staff for their review and subsequent follow-up actions.
- Perform basic data reconciliation tasks and report any discovered discrepancies to operations leadership.
- Ensure adherence to proper policies, procedures, risk mitigation activities, and operating controls. Report any identified gaps in policies, procedures, and operating controls to leadership to mitigate member impact and risk effectively.
Carrier Portal Support (15%)
- Access insurance carrier websites as directed to retrieve essential policy documents, endorsements, billing statements, and claim status information.
- Download and upload carrier forms and documentation into internal systems to maintain comprehensive records.
- Escalate questions, exceptions, or inconsistencies to licensed staff or management for resolution.
Team and Operational Support (15%)
- Provide backup administrative support to other team members as needed to ensure continuous operational flow.
- Complete all assigned tasks accurately and within established timeframes, demonstrating efficiency and reliability.
- Follow documented workflows and internal controls diligently to support consistency and compliance across operations.
- Communicate clearly and effectively with internal team members regarding task status, any questions that arise, or potential delays.
- Demonstrate a strong willingness to learn, proactively ask questions, and follow guidance to enhance performance and understanding.
Required Skills and Qualifications
- Education/Experience: Must possess a high school diploma or equivalent, or demonstrate ten (10) years of equivalent work experience.
- Prior Experience: Prior experience in an administrative, clerical, or office support role is preferred.
- Industry Knowledge: Familiarity with property and casualty insurance terminology is helpful but not mandatory, as it can be learned on the job.
- Data Entry Skills: Ability to perform high-volume, detail-oriented data entry with exceptional accuracy.
- Organizational Skills: Strong organizational skills and the ability to effectively manage multiple routine tasks concurrently.
- Process Adherence: Comfort working within defined processes and the ability to appropriately escalate issues when necessary.
- Communication: Professional written and verbal communication skills for effective internal coordination.
- Technical Proficiency: Proficiency in Microsoft Office applications, including Word, Excel, and Teams.
- System Navigation: Ability to navigate web-based systems and internal agency platforms efficiently with provided training.
