Financial Project Assistant | Arcadis

• Mission: Ensure accurate financial tracking and administrative support for multiple projects, enabling efficient project management and client billing processes within the Buffalo Area.

What You’ll Actually Do
• Monthly Invoicing: Work closely with project managers to ensure the accurate and timely preparation and submission of monthly client invoices for all assigned projects within the Buffalo Area.
• Financial Metrics Analysis: Provide and analyze comprehensive financial project metric reports for project managers, covering key performance indicators such as project revenue, profitability, and accounts receivable.
• Subcontractor and Project Setup: Coordinate effectively with subcontractors regarding their specific billing requirements and manage the initial setup of new projects, including consistently updating project forecasts within designated project management tools.
• Billing Document Preparation and Review: Prepare all necessary documents associated with client billing, meticulously verifying invoices for compliance with contractual terms across multiple projects simultaneously.
• Sophisticated Reporting and Reviews: Generate sophisticated reports and spreadsheets, applying a high level of quality control to documents, particularly those for billing large municipal clients, and actively participate in monthly project reviews with Finance Managers and Project Managers.
The Must-Haves
• Background: Associate or Bachelor degree in Accounting, Finance, Business Administration, or a related field, or equivalent experience.
• Experience: Demonstrated high level of proficiency in Microsoft Word, PowerPoint, Outlook, and Excel, coupled with the capability to manage multiple projects and responsibilities simultaneously under time constraints.
• Skills: Strong analytical skills with keen attention to detail; excellent interpersonal and communication skills; and exceptional time management and organizational abilities to effectively prioritize tasks.
• Bonus: 1-3+ years of related experience, a finance background or relevant coursework, previous administrative experience in a fast-paced environment, or prior experience with client billing procedures.
