The firm specializes in corporate, real estate, entertainment, and litigation law, maintaining a thriving headquartered office. This position is integral to the finance and accounting team, providing essential support in managing client billing, accounts receivable, and critical client intake processes. What You’ll Actually Do
• Invoice Management: Collaborate with the Billing Coordinator to review, revise, finalize, and distribute client invoices accurately and on schedule.
• Accounts Receivable Management: Proactively prepare and send follow-up communications for outstanding balances, assist with collection efforts, and provide weekly updates on collection status.
• Client Onboarding & Conflict Resolution: Conduct thorough conflict checks to prevent issues with new matters, prepare essential engagement letters and retainer invoices, and open new client accounts in the firm’s systems.
• Financial Record Keeping: Accurately enter attorney and contractor time entries, update payment notes, and assist with reconciliation of trust and advance account balances.
• Administrative & Communication Support: Monitor the Accounting Inbox, respond to billing and accounting inquiries from attorneys and clients, and contribute to the creation and maintenance of client and attorney rate schedules.
The Must-Haves
• Background: Bachelor’s degree or equivalent experience, with required prior experience in a law firm, billing, accounting, or legal technology environment.
• Experience: 2 to 4 years of professional experience, specifically with exposure to legal billing, accounting, and client intake processes.
• Skills: Proficiency with Microsoft Outlook, Word, Excel, and Adobe Acrobat; demonstrated strong attention to detail, excellent organizational skills, ability to manage multiple priorities, and effective written/verbal communication.
• Bonus: Strong analytical skills, a collaborative and professional demeanor, and a proactive, resourceful approach to problem-solving in a deadline-driven setting.
