Executive Assistant & Operations Coordinator

Revolution Group is seeking a highly organized, proactive professional to join our team as an Executive Assistant & Operations Coordinator. This pivotal role provides direct support to the Founder while ensuring the smooth operation of our office and the flawless execution of our events. Key Responsibilities

  • Executive Support to the Founder
    • Manage the Founder’s calendar with precision, including coordinating complex internal and external meetings.
    • Assist comprehensively with travel arrangements, detailed itineraries, and thorough meeting preparation.
    • Proactively manage priorities and skillfully resolve scheduling conflicts to optimize efficiency.
    • Prepare essential materials, agendas, and ensure diligent follow-up items for all meetings.
  • Office Administration & Coordination
    • Serve as the professional first point of contact for all incoming calls and visitors, representing Revolution Group’s brand.
    • Coordinate the office calendar and conference room scheduling to ensure optimal resource utilization.
    • Assist with daily office operations and contribute to internal projects, enhancing overall productivity.
    • Support document preparation, internal coordination efforts, and various administrative tasks.
    • Maintain impeccable organization across all office systems and workflows.
    • Handle all information with the utmost discretion and professionalism, safeguarding sensitive data.
  • Event Planning & Coordination
    • Assist with the comprehensive planning and coordination of member and stakeholder events throughout the year.
    • Manage all event logistics, including venue selection, vendor relations, invitation distribution, RSVP tracking, and meticulous timeline adherence.
    • Coordinate effectively with internal team members to ensure all events consistently meet Revolution Group’s high standards of excellence.
    • Assist with thorough event preparation, efficient on-site coordination, and diligent post-event follow-up.

Qualifications

  • 1–3 years of demonstrated experience in administrative support, executive assistance, or a closely related role. (Entry-level candidates possessing strong organizational skills and a proactive attitude are highly encouraged to apply).
  • Exceptional organizational skills coupled with meticulous attention to detail.
  • Strong written and verbal communication skills, essential for clear and effective interaction.
  • Proven ability to manage multiple priorities concurrently and consistently meet demanding deadlines.
  • Possession of a high level of discretion and unwavering professionalism in all interactions.
  • A proactive mindset and a genuine willingness to ask insightful questions and adeptly solve problems.
