The Tone:
This is an integral role at EXIMION, a small team that builds accredited clinical simulation programs for US physicians. The company’s programs are funded by pharmaceutical independent medical education (IME) grants and delivered in partnership with an ACCME-accredited provider. This Controller position is critical for establishing and maintaining clean financial records, starting with a comprehensive cleanup project to ensure accuracy and provide a solid foundation for ongoing financial operations.

The TL;DR

• Mission: Own and clean up the company’s financial records to establish accurate reporting and support strategic decision-making.
• Team: One-person finance team.
• Tech Stack: QuickBooks Online, Xero, Deel.

What You’ll Actually Do
• Bookkeeping & Close: Own full-cycle bookkeeping and monthly close across multiple bank accounts.
• Revenue & AR: Manage revenue recognition, invoicing, collections, and cash forecasting, particularly for contract milestones.
• Cost Accounting: Implement and maintain project cost accounting to track and report program profitability.
• Multi-Entity & Intercompany: Ensure accurate financial tracking across three entities, including intercompany transactions and cost allocation.
• GL & Process Improvement: Rebuild the chart of accounts and document financial processes for sustainability and external CPA collaboration.

The Must-Haves
• Background: Senior US accountant with 5+ years specializing in project or job cost accounting.
• Experience: Demonstrated ability to fix broken books, manage multi-entity bookkeeping (C-corp with disregarded LLCs), and reconcile global payroll platforms like Deel to the general ledger. Proficient with QuickBooks Online or Xero at an admin level.
• Skills: Working knowledge of ASC 606 revenue recognition and C-corp filings (1120, Delaware franchise tax, 1099-NEC, LLC annual reports, state foreign-qualification). Strong clear writing and proactive problem identification.
• Bonus: CPA or EA. Experience in government contracting, clinical research, media agency, construction, or professional services project accounting. Familiarity with pharma IME/CME funding or ACCME-accredited providers. History of building documentation for external inspection.
