Bookkeeper / Assistant to CPA | Alan K Geer PA CPA

The Tone:
This is a full-time or part-time role at Alan K. Geer, P.A., CPA, located on-site in Tampa, FL. Alan K. Geer, P.A., CPA is an established full-service accounting firm that provides essential financial services to individuals, small businesses, trusts, partnerships, estates, and non-profits across tax planning and preparation, bookkeeping, payroll, and assurance services. This role is crucial for maintaining the firm’s client services, offering direct exposure to the firm’s principal CPA and the complete scope of a CPA practice, fostering growth and direct learning without traditional corporate layers.

What You’ll Actually Do
• Maintain client books in QuickBooks: This involves comprehensive management of client books using both QuickBooks Desktop and Online, including performing precise bank and credit card reconciliations, preparing necessary journal entries, managing accounts payable and receivable, and executing month-end close procedures.
• Prepare or support individual and business tax returns: Provide essential support for the preparation of individual (Form 1040) and various business tax returns, encompassing critical tasks like document intake and accurate data entry.
• Process payroll and prepare reports: Efficiently process client payroll, which includes preparing and submitting quarterly and year-end payroll reports to ensure compliance and accuracy.
• Prepare financial statements for review: Compile and prepare detailed financial statements for various clients, ensuring they are ready for thorough review by the firm’s principal CPA.
• Communicate with clients and handle office administration: Act as a key point of contact for clients, communicating effectively on matters such as missing documents, upcoming deadlines, and routine inquiries, alongside managing general office administration tasks like scheduling, filing, e-file confirmations, handling mail, and answering phones.

The Must-Haves
• Background: This role is ideal for a capable bookkeeper, or an accountant/tax preparer, who possesses a strong understanding of both robust bookkeeping practices and the intricacies of personal income tax returns.
• Experience: Requires solid, hands-on working knowledge of QuickBooks, proficient in both Desktop and Online versions, coupled with practical experience in preparing personal income tax returns. The interplay of these two areas is central to the role.
• Skills: Essential skills include strong attention to detail, maintaining absolute discretion with confidential client information, demonstrating the ability to efficiently manage multiple client files and consistently meet strict filing deadlines, particularly during tax season, and professional written and verbal communication abilities when interacting with clients.
• Bonus: Preferred qualifications include QuickBooks ProAdvisor certification, experience with tax software such as Lacerte or UltraTax, prior payroll processing experience, relevant accounting coursework or an associate’s degree, and a curious interest in or experience with AI tools like ChatGPT, Claude, Copilot, or integrated AI features within accounting software.
