About the Job: Assistant

This is a full-time, on-site Assistant role located in Irvine, CA. You will be an integral part of our team, providing essential support for daily operations and administrative tasks. Key Responsibilities:

  • Support daily operations and administrative tasks, including scheduling and organizing documents.
  • Answer incoming calls professionally and manage communications.
  • Coordinate effectively with team members to ensure smooth workflow.
  • Maintain accurate records and perform diligent data entry.
  • Manage file processing from open to close, ensuring all steps are completed accurately and efficiently.
  • Assist with client communications, maintaining our customer-first approach.
  • Handle other administrative duties as required to support the team and business operations.

Qualifications:

  • Strong organizational and multitasking skills to effectively manage schedules, maintain records, and coordinate various tasks.
  • Proven experience in escrow or general administrative tasks such as data entry, filing, and meticulous document management.
  • Proficient communication skills, both written and verbal, essential for handling client interactions and seamless team coordination.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other standard office software.
  • Exceptional attention to detail and a strong ability to maintain confidentiality.
  • Demonstrated problem-solving skills and the ability to work independently while also being a collaborative team player.
  • Previous experience in real estate or escrow is preferred.
  • Familiarity with the Qualia Platform is a significant plus.
