This Administrator role is critical in ensuring field teams are well organized, adequately supported, and able to implement activities efficiently, serving as a key connector between field teams and various support functions.

What You’ll Actually Do
• Administrative & Team Support: Provide day-to-day administrative support to regional field teams and project management staff, coordinating travel and managing documentation.
• Logistics & Operations: Plan and coordinate logistics for various project activities such as trainings, supervision visits, and meetings, ensuring timely support for field teams.
• Procurement & Asset Management: Support procurement processes by preparing requisitions and tracking requests, while also assisting with project asset, stores, and inventory management.
• Fleet & Transport Management: Support fleet operations including vehicle scheduling, logbooks, fuel tracking, and maintenance coordination, ensuring complete vehicle documentation.
• Documentation & Reporting: Maintain organized electronic and physical filing systems, supporting the preparation of routine administrative and logistics summaries and reports.

The Must-Haves
• Background: A Diploma or degree, with a degree preferred, in Public Administration, Business Administration, Logistics, Operations Management, or a related field.
• Experience: At least 4-5 years of relevant experience providing administrative, logistics, or operational support to donor-funded programs, including procurement, logistics coordination, office operations, field-based teams, fleet management, asset tracking, and inventory systems.
• Skills: Proficiency in MS Office applications and electronic filing systems, strong organizational, coordination, and problem-solving skills, with high attention to detail and ability to manage multiple tasks simultaneously.
• Bonus: Familiarity with U.S. Government-funded project administrative and compliance requirements, experience with logistics or inventory systems (e.g., eLMIS), fluency in English and Kiswahili, and ability to undertake regular travel within the assigned region.
