This is a full-time role at Collabera, located remotely. The company is seeking an Entry Level Administrative Assistant to provide essential support. The role is designed to offer comprehensive assistance to Director-level leaders who operate across multiple locations and business functions. This position is vital for maintaining organizational efficiency, requiring excellent communication and strong administrative skills to manage competing priorities, coordinate critical business activities, and ensure smooth day-to-day operations within a professional corporate environment.

What You’ll Actually Do
• Administrative Support: Provide comprehensive administrative support to Director-level leaders operating across multiple business functions, ensuring their operational needs are met efficiently.
• Calendar Management: Skillfully manage executive calendars, meticulously schedule complex meetings, and proficiently coordinate various appointments and critical business activities.
• Expense Processing: Accurately process and systematically track expense reports for leadership using designated expense management systems, ensuring compliance and timely submission.
• Meeting Coordination: Meticulously coordinate all logistical aspects of meetings, prepare necessary presentation materials and documents, and ensure diligent and timely follow-up on action items.
• Project Assistance: Actively support special projects, undertake research initiatives, and assist with various administrative studies as assigned, contributing to broader departmental goals.
The Must-Haves
• Background: A high school diploma or equivalent is required, alongside demonstrated prior experience providing dedicated administrative support to Director-level or senior leadership within a corporate setting.
• Experience: Possess a proven ability to adeptly manage and prioritize multiple competing tasks and responsibilities with minimal supervision, showcasing strong organizational capabilities and exceptional attention to detail.
• Skills: Proficiency with SAP Concur for efficient expense management; advanced proficiency with Microsoft Outlook for calendar and communication management; strong written and verbal communication skills; and the ability to consistently maintain strict confidentiality and professionalism within a corporate environment.
• Bonus: An Associate’s or Bachelor’s degree is preferred; experience effectively supporting multiple leaders who are located across different geographical locations; strong problem-solving and critical-thinking skills for effective decision-making; a self-motivated professional with a proactive approach to work, including the ability to anticipate business needs and take appropriate initiative; and excellent interpersonal and relationship-building skills to foster collaborative environments.
