The Tone
This is a contract role at Aston Carter’s client, located in Madera, CA. The client company operates a very small, close-knit office environment, involved in advanced manufacturing technology such as CNC tube bending and laser cutting equipment. This entry-level role is crucial for supporting daily business functions by managing front desk activities, handling communications, and performing a wide range of administrative and clerical tasks. The position requires a friendly and professional individual who enjoys collaboration and will become an integral part of a stable, dedicated team.

What You’ll Actually Do
• Communications: Professionally answer and manage multi-line phone systems, providing a positive experience for all callers.
• Financial Support: Accurately enter invoices into QuickBooks, match payments, and prepare bi-weekly payment runs in Excel.
• Office Administration: Perform general office duties including filing, scanning, organizing documents, and processing incoming mail.
• Front Desk & Support: Provide front desk coverage by greeting visitors and offering general customer service while assisting staff with day-to-day tasks.
• Data Management: Execute data entry tasks with high accuracy across multiple systems, including weekly employee timecards and state sales tax templates.
The Must-Haves
• Background: Entry-Level. 1–2 years of administrative experience within an office setting.
• Experience: Proficiency with multi-line phone systems, demonstrated ability to handle calls professionally, and experience using QuickBooks for financial tasks.
• Skills: Working knowledge of Microsoft Word and Excel, accurate data entry, strong customer service, and multi-tasking abilities.
• Bonus: Experience with accounts receivable (AR) and accounts payable (AP) functions, including preparing AR collection reports and reconciling credit card statements. Interest in supporting a business involved in advanced manufacturing technology, and comfort working in a front desk or reception role with strong organizational skills.
