Position Summary

The Administrative Assistant performs administrative tasks in support of a department, unit, or program area, and may include supervision of support staff. By assignment, duties of an Administrative Assistant may also include office management, purchasing coordination, and/or contract purchasing and payment. The ideal incumbent must be well-organized and able to interact effectively with agency staff and the general public.

Key Responsibilities

  • Perform all work in a manner consistent with the National Youth Advocate Program’s mission, values, and philosophies.
  • Develop, review, and improve administrative systems, policies, and procedures.
  • Support the Director of Program Administration and other hiring managers with related tasks.
  • Arrange training sessions, workshops, and all other public relation events as requested.
  • Enter all program information into the computer, maintain databases, and update all changes, additions, and deletions.
  • Provide quarterly and annual reports as required/requested by the manager.
  • Provide training and supervision to area office specialists and other administrative staff as required.
  • Provide appropriate documentation for the payment of all expenses incurred by the agency, and maintain an ongoing log of agency bills and expenditures if required.
  • Attend meetings and record and distribute meeting minutes as assigned by the Director.
  • Ensure the office is stocked with necessary supplies and all equipment is working and properly maintained.
  • Plan, schedule, and promote office events, including meetings, conferences, interviews, orientations, and training sessions.
  • Oversee special projects and track progress towards company goals.

Minimum Qualifications

  • High School Diploma or GED equivalent. Some college preferred.
  • Must maintain 100,000/300,000 Bodily Injury car insurance as required by the agency.
  • Must be able to pass a background check.
  • Experience supporting a team.
  • Experience navigating and excelling in a high-volume call setting.
  • Previous experience working in crisis/critical care preferred.
  • Previous experience and proficiency in the use of various office machines, including computers.
  • Basic bookkeeping skills and experience.
  • Proficiency with Microsoft Office, including Excel and Word.
  • Proficient use of desktop and laptop computers, smartphones and tablets, printers, fax machines and photocopiers, as well as software including word processing, spreadsheet, and database programs.
