Administrative Assistant | Aston Carter
The Tone:
This is a Contract to Hire role at Aston Carter, located in Longwood, FL. Aston Carter provides world-class corporate talent solutions to a wide array of clients globally. In this role, you will serve as the primary point of contact and provide essential administrative and accounting support. You will be crucial in ensuring smooth daily operations by managing communications, supporting financial tracking, and coordinating office logistics within a company of over 250 employees across three locations.

• Team: Shared office with accounting, marketing, and estimating teams.
• Mission: Manage front desk operations, communications, purchase order tracking, office logistics, and routine accounting.
• Tech Stack: Microsoft Excel, Accounting software or ERP systems (preferred)
What You’ll Actually Do
• Front Desk Management: Serve as the primary point of contact, professionally greeting all visitors, vendors, and guests.
• Communication Handling: Efficiently answer, screen, and route incoming phone calls from external contacts and field staff.
• Purchase Order Processing: Accurately enter and maintain purchase order requests in tracking systems, coordinating with relevant teams for timely resolution.
• Accounting Support: Provide routine accounting assistance including data entry, reconciliation support, and preparing invoices for processing.
• Office Coordination: Ensure conference rooms and the reception area are clean and organized, manage schedules, and maintain office supply inventory.
The Must-Haves
• Background: High school diploma or equivalent, with a background in administrative, front desk, or accounting support, specifically accounts payable and invoicing.
• Experience: 2+ years of relevant experience, coupled with customer service experience.
• Skills: Proficiency in Microsoft Excel (data entry, basic formulas, tracking, reconciliation), excellent verbal and written communication skills, strong attention to detail, accuracy, organization, and time management skills.
• Bonus: Associate degree or accounting coursework, experience with accounting software or ERP systems, and construction industry experience.
