Accounts Receivable Analyst | Staples

The Tone:
This is a full-time role at Staples, located in the United States. Staples operates as a business-to-business enterprise, where its finance team collaborates with every area to drive results and offer financial expertise. This team analyzes and interprets information to assess performance, provides guidance, and serves as a key partner and advisor to business leaders. Joining the Accounts Receivable team, this role is critical in strengthening Staples’ financial performance and ensuring a positive customer experience by managing a specialized portfolio, resolving complex account issues, improving cash collection, and reducing risk.

What You’ll Actually Do
• Cash Collection & Follow-up: Collect cash against open accounts receivable, maintain consistent customer follow-up, and complete all collection activities including on-account cash research and credit reviews within established service-level expectations.
• Discrepancy Resolution: Research account issues, reconcile payment remittances, promptly resolve billing and accounts receivable discrepancies, and understand customer ordering and billing integrations to identify root causes.
• Financial Optimization: Minimize bad-debt write-offs, maximize cash receipts while balancing internal and external customer needs, and negotiate payment plans or settlements for significantly past-due balances within established guidelines.
• Process Improvement: Identify, propose, and implement process improvements, including streamlined workflows and automation opportunities, and create standard operating procedures for high-effort or complex customer accounts.
• Stakeholder Collaboration & Reporting: Lead customer conference calls, collaborate with various internal teams (Billing, Sales, Customer Service, Finance, Customer Setup, Contract Gateway) to resolve issues and past-due balances, and prepare ad hoc reports, statements, and reconciliation summaries for customers and leaders.

The Must-Haves
• Background: A professional with foundational knowledge in accounts receivable, accounting, or finance operations.
• Experience: Minimum of 2 years in accounts receivable, accounting, finance operations, or a comparable support role, with experience using or learning ERP or accounting systems such as Oracle, SAP, or NetSuite.
• Skills: Proficiency in Microsoft Excel (including pivot tables, VLOOKUP, and filters), strong analytical and problem-solving abilities with the capacity to analyze data and identify root causes, and clear communication skills both written and verbal.
• Bonus: A Bachelor’s degree in Accounting, Finance, Business Administration, or a related field; experience with collection software such as Webcollect or GetPaid; and familiarity with accounts receivable best practices including aging, cash application, and account reconciliation.
