Full Charge Bookkeeper – Construction Draw Billing Specialist | Pillar Building Group LLC
The Tone:
This is a full-time, on-site, non-exempt role at Pillar Building Group LLC, located in Van Nuys, Los Angeles County. The company is a general contractor building luxury new construction single-family residences across Los Angeles, managing 15 to 25 concurrent projects. This role is critical because Pillar Building Group operates lean, meaning this position independently owns its function rather than sitting inside a large accounting department. The individual will be responsible for a core financial operation that directly impacts project progress and company cash flow.

• Mission: To own the accurate and timely monthly owner and lender draw billing processes and provide comprehensive bookkeeping support for 15 to 25 active residential construction projects.

What You’ll Actually Do
• Construction Billing: Manage the primary responsibility of monthly owner and lender draw billing across an active portfolio of 15 to 25 residential construction projects.
• Draw Package Assembly: Pull job cost detail, assemble comprehensive draw packages with complete backup documentation, and track retention for each subcontract.
• Lien Release Management: Oversee the exchange of conditional and unconditional lien releases utilizing California statutory forms.
• Invoice & Vendor Management: Handle subcontractor and vendor invoice intake, code invoices accurately to the correct job and cost code, and maintain W-9, general liability, and workers’ compensation certificate files, including expiration tracking.
• Financial Reconciliation & Reporting: Perform bank and credit card reconciliation, log Preliminary Notices, provide support for month-end close processes, and prepare year-end 1099s.
The Must-Haves
• Background: Career level: Experienced. High school diploma or equivalent, with a core domain understanding of construction accounting, accounts receivable, or full-charge bookkeeping.
• Experience: 3+ years in construction accounting, accounts receivable, or full-charge bookkeeping, with direct experience in progress billing, draw packages, lien waivers, and retention accounting; residential general contractor or developer experience is strongly preferred.
• Skills: QuickBooks proficiency, advanced Excel skills (pivot tables, lookups, reconciliation of large cost exports), clear written communication with subcontractors, owner representatives, and lenders, and the ability to manage billing across 15 to 25 active jobs simultaneously without errors.
• Bonus: BuilderTrend experience is a significant plus; comparable platforms such as Procore, Sage 100 Contractor, or Foundation will be considered.
