Accounting Assistant | Group Jazz

The Tone:
This is an Accounting Assistant role at PMP Management, an industry-leading association management firm providing products and extraordinary services to common interest developments across California, Utah, and Texas. This role is crucial for supporting the firm’s financial operations by managing banking activities and assisting with compliance for various communities.

What You’ll Actually Do
• Bank Account Operations: Manage the full lifecycle of bank accounts by opening, closing, and transitioning them, including communicating with banks, reviewing financials for banking information, and setting up new accounts in the accounting system. Update signature cards for new board members across all platforms and request necessary user IDs and logins.
• Financial Reconciliation: Reconcile multiple monthly bank statements and assist in opening, maintaining, and troubleshooting association credit cards.
• Community Onboarding: Respond to Dormant Account notices, assist with the onboarding of new communities and board members, and maintain electronic filing systems for assigned communities.
• Operational Support: Provide daily support to the Community Management and Accounting team, offer backup assistance to both the Banking and Compliance Coordinators, and collaborate with third-party vendors to resolve accounting-related issues.
• Procedural Adherence: Meet all set deadlines and expectations, follow standard procedures for all accounting tasks, and complete special projects and tasks as assigned.

The Must-Haves
• Background: Entry-Level. A High School Diploma is required. College coursework in Business, Communications, or Accounting is preferred.
• Experience: Preferred 1+ year(s) background in Banking or Accounting. Requires experience with data entry software, a history of performing under deadlines and pressure with accuracy, and a background in exceptional customer service.
• Skills: Proficient in Microsoft Word, Excel, Outlook, Adobe, Docusign, Zoom, and Microsoft Teams. Demonstrates clear written and verbal communication skills, a history of multi-tasking with attention to detail, and proven self-starter capabilities to manage time effectively. Exhibits a desire to assist all clients professionally and friendly.
• Bonus: Basic knowledge of the HOA industry is a nice-to-have qualification.
