The Tone:
This is a full-time, remote role at TopDog Law. We are a nationally scaling personal injury firm dedicated to owning the client experience end-to-end, from marketing to litigation. We have achieved significant year-over-year growth by aligning strategy, speed, and execution in marketing, and are now applying this discipline to firm operations and national scale. This role is a key control point within our legal finance operation, ensuring trust funds are accurately managed, compliant, and adhere to State Bar requirements, which is critical for our continued growth and client satisfaction.

The TL;DR

• Team: Part of a finance/operations team, collaborating with legal, banking, and AP teams.
• Mission: To validate, reconcile, and monitor client trust transactions for accuracy, compliance, and adherence to State Bar trust accounting requirements.
• Tech Stack: NetSuite, Filevine, Excel, payment platform (for ACH/wire), RDC staging queue

What You’ll Actually Do
• Validation: Review and validate trust disbursement requests from Filevine against settlement statements and supporting documentation.
• Accounting: Map and code disbursement transactions to the appropriate accounts within NetSuite.
• Reconciliation: Perform client-level trust reconciliations in accordance with applicable State Bar requirements across active jurisdictions.
• Issue Resolution: Research and resolve discrepancies, outstanding checks, returned payments, and exception items within established service level agreements.
• Transactions: Review check images, validate against correct client and bank accounts, confirm destination trust accounts, and initiate ACH and wire transactions.

The Must-Haves
• Background: Bachelor’s degree in Accounting, Finance, Business Administration, or a related field, or equivalent professional experience.
• Experience: 3+ years of experience in accounting, financial analysis, treasury, banking operations, trust operations, escrow, or similar financial functions.
• Skills: Intermediate to advanced Excel proficiency, including PivotTables, lookup functions, and managing large datasets; strong analytical, organizational, and problem-solving abilities with high attention to detail.
• Bonus: Experience with attorney trust accounting, IOLTA, escrow, or banking operations; familiarity with NetSuite, Filevine, or comparable ERP/case management systems; knowledge of State Bar trust accounting requirements or other regulated financial environments.
