What You’ll Actually Do
• Compliance & Verification: Verify that financial transactions comply with established company policies and internal procedures to ensure operational integrity.
• Invoice & Payment Processing: Accurately enter invoices and pay applications into the system for approval, and prepare vendor payments and remittances for mailing, online, or phone processing.
• Record Management: Maintain comprehensive project-related records, which include contracts and change orders, and manage corporate credit card accounts for the division office.
• Vendor & Internal Communication: Respond professionally to accounts payable inquiries from both vendors and internal customers, fostering clear verbal and written communication with employees, vendors, and owners.
• Financial Monitoring & Analysis: Analyze vendor accounts for discrepancies or issues, and continuously monitor accounts payable to ensure all payments are accurate and timely.
The Must-Haves
• Background: Entry-Level. Candidates should possess or be developing strong construction accounting and administrative support skills.
• Experience: No specific years required. Practical experience or a demonstrated ability to perform general administrative responsibilities, including managing phone calls and email correspondence.
• Skills: Proficient in Microsoft Excel and Outlook for data management and communication; Excellent analytical, organizational, and problem-solving capabilities; A consistent ability to maintain a high level of accuracy in all tasks.
