This Accounts Payable Assistant role is critical as it acts as a financial gatekeeper, ensuring invoices are accurate, vendors are paid correctly, and job costs are precisely aligned for multimillion-dollar projects. What You’ll Actually Do
• Invoice Processing: Process over 1,000 accounts payable items monthly with precision and speed.
• Data Matching & Coding: Match incoming invoices to purchase orders and contracts, then code them correctly.
• Payment & Vendor Management: Run weekly payments and meticulously maintain complete vendor files.
• Financial Reconciliation: Reconcile company credit cards and provide essential support for month-end close activities.
• Discrepancy Resolution: Proactively resolve financial discrepancies before they can escalate into project delays.
The Must-Haves
• Background: Entry-Level. Core domain knowledge in accounts payable, accounting support, or bookkeeping.
• Experience: 2+ years of experience in accounts payable, accounting support, or bookkeeping, with a proven ability to manage high-volume AP work accurately and efficiently.
• Skills: Strong proficiency in QuickBooks Online and Excel, exceptional organizational skills for maintaining precision under pressure, clear and professional communication with vendors and internal teams, and the ability to quickly spot and correct errors.
• Bonus: Experience with construction accounting, Buildertrend, or job costing is a strong advantage.
