Accounting Assistant | TOPDON USA
The Tone:
This is a full-time, on-site role at TOPDON USA, located in Fairfield, New Jersey. TOPDON is a global technology company specializing in automotive diagnostic tools, battery solutions, and intelligent testing equipment. Their U.S. office supports sales, logistics, customer service, and other business operations while working closely with their overseas headquarters. This role is crucial for supporting the daily accounting operations of the U.S. entity by handling accounts receivable, bookkeeping, account reconciliation, and payment tracking.

What You’ll Actually Do
• Accounts Receivable: Prepare and issue customer invoices, resolve invoice-related questions, and reconcile customer accounts.
• Collections: Follow up on past-due accounts and communicate with customers regarding payment status.
• Bookkeeping: Perform routine bookkeeping activities in Odoo, including accounts receivable, accounts payable, bank transactions, expenses, and payment records.
• Reconciliations: Assist with bank, credit card, and account reconciliations, coordinating with the headquarters finance team.
• Payment & Adjustments: Process customer credit memos, deductions, refunds, and support vendor payments and customer payment tracking.
The Must-Haves
• Background: Entry-Level. Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field, or equivalent relevant experience, with a basic understanding of accounting principles, invoicing, payment processing, and account reconciliation.
• Experience: 0–3 years of bookkeeping, accounting support, accounts receivable, accounts payable, or related experience.
• Skills: Proficiency in Microsoft Office, particularly Excel, Outlook, and Word; strong attention to detail and organizational skills; good written and verbal communication skills in English; and the ability to communicate in Chinese for work-related coordination with the overseas headquarters.
• Bonus: Experience using Odoo, QuickBooks, or another ERP or accounting system; experience with accounts receivable, collections, customer reconciliation, or refund processing; experience working with an overseas headquarters or international business team; or experience in the automotive, e-commerce, distribution, wholesale, or retail industry.
