Staff Accountant | Kayfoods

The Tone:
This is a full-time Staff Accountant role at Kayfoods, located in Albany, NY. Kayfoods, doing business as Better Brands Inc., is a growing food manufacturer serving K-12 schools, higher education, and foodservice customers across the United States. This hands-on accounting position is pivotal for supporting the company’s continued growth, offering broad exposure to financial operations from day-to-day accounting to reporting. The role also provides a significant opportunity for the right candidate to grow into a more senior financial leadership role over time.

The TL;DR
• Role: Full Time
• Type: Salaried, Monday-Thursday: 8:00 AM-5:00 PM | Friday: 8:00 AM-2:00 PM
• Location: In-person, Albany, NY

• Team: Existing accounting team and management; collaborates with outside accounting professionals
• Mission: Support the company’s continued growth by managing day-to-day accounting, billing, collections, reconciliations, financial tracking, and reporting.
• Tech Stack: QuickBooks, Microsoft Excel, Google Sheets

What You’ll Actually Do
• Accounts Management: Manage all aspects of Accounts Payable and Accounts Receivable, including processing invoices, bills, payments, deposits, credits, expenses, journal entries, and approved checks and wires.
• Billing & Collections: Oversee comprehensive customer billing and collections, addressing statements, aging reports, outstanding balances, invoice disputes, short pays, chargebacks, and deductions.
• Financial Reconciliation & Tracking: Perform detailed account reconciliations, investigate and resolve discrepancies, and maintain accurate financial tracking for purchasing, loans, financing, and recurring obligations.
• Reporting & Record Keeping: Prepare weekly and monthly AP/AR and other routine financial reports, assist with month-end accounting activities, and maintain organized accounting documentation for audits, compliance, and tax preparation.
• Data Integrity & Compliance: Maintain critical data such as ingredient and cost information, customer credit limits, broker commissions, sales-tax exemption documentation, and recurring company insurance and compliance records.

The Must-Haves
• Background: An experienced professional with 4+ years of accounting, bookkeeping, or related financial experience, possessing a strong understanding of general accounting principles.
• Experience: Hands-on experience with Accounts Payable, Accounts Receivable, account reconciliations, and collections.
• Skills: Proficiency with QuickBooks or similar accounting software, strong Microsoft Excel and/or Google Sheets skills, analytical, organizational, and problem-solving abilities with excellent attention to detail, and professional communication skills with the ability to maintain confidentiality.
• Bonus: Associate or Bachelor’s degree in Accounting, Finance, Business, or a related field; manufacturing or food industry experience; inventory or cost-accounting experience; ERP experience; or experience with month-end close and financial reporting.
