Billing Specialist – Hybrid | NPAworldwide

The Tone:
This is a full-time role at a stable, mid-sized and growing law firm, located in Buffalo, NY, offering a hybrid work schedule with two days in the office per week. The firm is seeking a detail-oriented individual to join its billing team. This role is crucial for ensuring the accuracy and efficiency of the billing operations, as well as maintaining compliance with client requirements. Your expertise will directly impact the firm’s financial processes and client satisfaction.

What You’ll Actually Do
• Invoice Preparation: Prepare, revise, calculate, and produce corporate and litigation invoices for various clients.
• Compliance Auditing: Review and audit attorney time entries and expenses line by line to ensure compliance with specific client billing guidelines.
• Electronic Submission: Edit and submit electronic invoices through client and relevant third-party billing portals.
• Billing Management: Maintain accurate client-specific billing guidelines, rates, timekeepers, matters, and third-party administrator requirements.
• Financial Reporting: Prepare month-end billing and closing reports, and develop Excel spreadsheets to track billing activity.

The Must-Haves
• Background: An Associate degree in business, accounting, or a related field, or at least three years of relevant office experience.
• Experience: At least three years of relevant office experience, with comfort working with accounting and billing software.
• Skills: Strong attention to detail and a high degree of accuracy; excellent organizational and time-management skills; proficiency with Microsoft Word and Excel; and strong written and verbal communication skills.
• Bonus: Experience with legal billing and electronic billing systems.
