Calendar Clerk | Kennedys

The Tone:
This is a full-time, hybrid role at Kennedys, located in Berkeley Heights, NJ. Kennedys is a global law firm seeking experienced support for its growing operations. This role is crucial for managing and tracking court schedules, deadlines, and appearances, ensuring the firm adheres to all legal obligations. The Calendar Clerk ensures the seamless progression of legal matters by meticulously organizing critical dates and communications.

What You’ll Actually Do
• Calendar Management: Meticulously manage and review all incoming court notices, accurately entering schedules, deadlines, and critical dates into the firm’s calendar.
• Communication & Confirmation: Conduct heavy communication with courts and opposing adversaries to confirm appearances, ensuring all scheduled events are verified.
• Scheduling & Coordination: Coordinate court appearances directly with attorneys and proficiently schedule depositions, internal meetings, and mediations as required.
• Information Point: Act as the central point of contact for all inquiries regarding court dates, adjournments, and other calendar-related matters, providing timely updates.
• Data & Rules Management: Enter essential matter data into the docketing software database and apply advanced knowledge of court rules and procedures to tasks, locating information on court websites as needed.

The Must-Haves
• Background: Experienced professional with foundational knowledge in legal terminology, court procedures, and litigation processes, including an advanced understanding of depositions, motions, and specific court and judges’ rules, and how to locate them on court websites.
• Experience: Requires 3 to 5 years of proven experience specifically as a calendar clerk, litigation secretary, or in a comparable support role within a law firm, demonstrating proficiency in tracking court dates using New Jersey e-Courts and e-Law.
• Skills: Demonstrates exceptional organizational and multitasking abilities, excellent client services and problem-solving skills, and the capacity to communicate professionally and concisely. Must be proactive, anticipatory, and able to think clearly and work well under pressure in a busy environment, utilizing strong interpersonal skills to collaborate across all staff levels. Proficiency in Microsoft Office Suite is essential.
• Bonus: Working knowledge of BEC CoreRelate preferred
