What You’ll Actually Do
• Calendar & Travel Logistics: Manage complex calendars, coordinate meetings, and arrange travel for attorneys, proactively resolving conflicts.
• Legal Document Production: Prepare, edit, redline, and proofread legal documents and correspondence with high accuracy and maintain version control.
• Financial & Billing Support: Facilitate timely time entry, assist with prebills, manage expense processing, and finalize monthly billing.
• Litigation & Court Support: Monitor litigation deadlines, assist with drafting pleadings, conduct research, and prepare materials for court filings and discovery.
• Client & Matter Workflow: Support new client/matter intake, conflicts checks, engagement letters, and ensure DMS workspaces comply with firm policies.
The Must-Haves
• Background: Bachelor’s degree and 5+ years of legal or professional services administrative experience, with knowledge of legal terminology, civil procedures, and discovery.
• Experience: 5+ years of legal or professional services administrative experience, including filing documents with courts and other agencies; legal or practice-specific exposure is a plus.
• Skills: Advanced proficiency in MS Word (styles, numbering, cross-references), Outlook, Excel, and PDF tools (combine, bookmark, redact); strong written and verbal communication.
• Bonus: Familiarity with iManage, InTapp, Dayforce, Chrome River, Billstream, PACER, and state/federal ECF systems (or willingness to learn with training).
