Executive Assistant | HDG Resource Team

The Tone:
This is a full-time role at HDG Resource Team LLC, located remotely. HDG Resource Team assists homeowners in distress by providing fast, ethical real estate solutions throughout Florida, operating with urgency, structure, accountability, and professionalism. This position is vital for supporting daily business operations, ensuring team accountability, and managing CRM and lead flow to facilitate company growth. It requires a proactive, detail-oriented professional capable of managing multiple moving parts without constant supervision, serving as a reliable team player in a performance-driven environment.

What You’ll Actually Do
• Executive and Operational Support: Provide comprehensive executive support, manage calendars, coordinate tasks, and assist with process improvement and workflow organization.
• CRM and Pipeline Management: Oversee CRM systems, specifically GoHighLevel and PropStream, handling pipeline and opportunity management for lead progression.
• Team Accountability and Monitoring: Coordinate team accountability, conduct follow-ups, and monitor Clockify system for productivity reviews and audit reporting.
• Data Management and Lead Flow: Execute data management tasks including list scrubbing, skip tracing, and lead verification to ensure accurate lead information.
• Communications and Campaign Coordination: Monitor inbound/outbound communications, perform follow-ups via calls, SMS, and email, and coordinate campaigns such as letters, EDDM, and property research.

The Must-Haves
• Background: This is not an entry-level administrative role; candidates must possess executive-level support and operational coordination experience within a structured, performance-driven environment that values accountability and follow-through.
• Experience: Proven experience with GoHighLevel is required, alongside strong proficiency in CRM and SMS/email workflow management. Strong Excel and Google Workspace skills are also essential for this role.
• Skills: Excellent organizational and communication skills are paramount. The ability to multitask and manage priorities effectively under pressure is critical, combined with a detail-oriented, proactive, and performance-driven mindset.
• Bonus: Experience with REIFax is preferred, and bilingual fluency in Spanish is a significant plus. Prior experience in cold calling, lead qualification, and appointment setting will also be highly valued.
