What You’ll Actually Do
• Calendar & Travel Management: Efficiently manage complex calendars, schedule meetings, and coordinate all aspects of travel for leadership and the broader team.
• Document & Presentation Preparation: Prepare, proofread, and finalize critical documents, comprehensive reports, and engaging presentations for various team needs.
• Communication & Front Desk Presence: Professionally handle all incoming phone calls and emails, accurately route inquiries, and cultivate a welcoming presence for clients and partners.
• File & Correspondence Management: Systematically organize and maintain all electronic and physical files, and meticulously process incoming and outgoing correspondence.
• Operational & Team Support: Assist with precise data entry, generate basic reports, support daily office operations, and coordinate various team activities to ensure tasks are completed accurately and on time.
The Must-Haves
• Background: A high school diploma or equivalent is required, demonstrating foundational administrative and business knowledge.
• Experience: Proven experience providing Executive Administrative Assistance, specifically supporting leaders with calendar management, meeting coordination, and handling confidential information.
• Skills: Strong Administrative Assistance and Clerical Skills, including adept scheduling, meticulous document preparation, efficient filing, and accurate data entry. Professional Phone Etiquette and clear Communication skills, both written and verbal, with a customer-focused approach. Proficiency with standard office software such as Microsoft Office or Google Workspace, with comfort in learning specialized mortgage or CRM systems. A high level of organization, exceptional attention to detail, and the ability to effectively prioritize multiple tasks in a deadline-driven environment. Demonstrated reliability, discretion, and the proven ability to handle sensitive and confidential information appropriately.
• Bonus: Previous experience in financial services, mortgage, or real estate environments is preferred. Additional administrative or business coursework or certifications are a plus.
