Scheduler – Imaging | Wellstar Health System

• Team: Reports to the Scheduling Supervisor/Manager and Diagnostic Outreach VP.
• Mission: Owns the accurate and efficient scheduling of Medical Imaging appointments, ensuring outstanding customer service and adherence to quality standards.
• Tech Stack: EMR, Image Now, Trace
What You’ll Actually Do
• Schedule Patient Appointments: Schedule Medical Imaging appointments for patients via inbound/outbound telephone calls or in person, ensuring knowledge of all exam modalities, patient preps, and instructions.
• Verify Patient Information: Obtain, verify, and update demographic and insurance information, including checking for pre-authorizations, referrals, medical necessity, and testing frequencies based on carrier guidelines.
• Provide Customer Support: Deliver outstanding customer service by handling heavy phone volumes, assisting physician’s office staff with scheduling issues, and demonstrating appropriate telephone etiquette.
• Manage Orders and Data: Process electronic orders from systems like EMR, Image Now, and Trace, attaching paper orders to scheduled appointments with a high degree of typing and data entry accuracy.
• Support Team Operations: Collaborate respectfully with co-workers, orient new employees, and assist other scheduling areas as needed, demonstrating flexibility with work hours to meet department demands.
The Must-Haves
• Background: High School Diploma or GED. Knowledge of Medical Imaging exams, patient preps, instructions, diagnosis codes, and various insurance programs.
• Experience: Minimum 1 year of experience in customer service or medical scheduling is preferred.
• Skills: Strong customer service, communication, and organizational skills; basic typing and data entry experience; superior attention to detail; ability to exercise judgment in emergent situations and retain composure in stressful situations.
• Bonus: Basic insurance carrier and pre-certification knowledge; Medical Terminology experience.
