Business Office Associate | CarMax

The Tone:
This is a full-time role at CarMax, located in Gilbert, AZ. CarMax is a leading retailer of used vehicles, focused on providing transparent and customer-centric car buying and selling experiences. This role is crucial for delivering an iconic customer experience by supporting the sales, auction, and appraisal processes through meticulous paperwork management, financial transactions, and direct customer interaction. This position ensures smooth operations and accurate record-keeping, directly impacting customer satisfaction and business efficiency.

The TL;DR

• Type: Nights, weekends, and holidays
• Location: Gilbert, AZ (In-person)

• Team: Reports to the Business Office Manager
• Mission: Facilitate sales, auction, and appraisal processes by managing cash, processing paperwork, and supporting customers.
• Tech Stack: Microsoft Excel, proprietary systems

What You’ll Actually Do
• Customer Experience: Deliver exceptional customer service by greeting customers, answering questions, explaining paperwork processes, and managing incoming calls through a multi-line phone system.
• Sales & Auction Processes: Process all paperwork associated with retail/wholesale automobile sales, auction sales, and appraisal lane purchases, ensuring accuracy and compliance with titling and registration requirements.
• Financial Management: Manage various pay types, including receiving and counting money, distributing funds, preparing deposits, and handling safe operations with attention to security and loss prevention.
• Training & Support: Mentor new Business Office Associates and provide training to other store departments on established Business Office processes and procedures.
• Clerical Administration: Perform essential clerical duties such as copying, filing, reconciling missing information, and performing data entry into Microsoft Excel and proprietary systems.

The Must-Haves
• Background: Ability to read, interpret, and transcribe data accurately to maintain records, coupled with an understanding of numeric filing systems.
• Experience: Demonstrated intermediate PC skills, including proficiency with word processing and spreadsheet programs, and experience prioritizing and multi-tasking in a deadline-oriented environment.
• Skills: Above-average organizational skills and attention to detail, effective verbal and written communication skills for internal and external customers, and the ability to lift objects weighing as much as 15-20 lbs.
