Administrative Assistant | National Youth Advocate Program

The Tone:
This is a full-time hybrid role at National Youth Advocate Program (NYAP), a growing organization dedicated to serving communities and clients since 1978. As an Administrative Assistant, you will play a crucial role in ensuring the smooth and efficient operation of departments, units, or program areas. Your work will directly support NYAP’s mission to make a positive impact on the lives of children, youth, and families through comprehensive administrative and organizational support.

The TL;DR

• Team: Supports the Director of Program Administration, other hiring managers, and various program areas, with potential for supervising support staff.
• Mission: To optimize administrative systems and provide essential organizational support to enable effective service delivery to children, youth, and families.
• Tech Stack: Microsoft Office (Excel, Word), desktop and laptop computers, smartphones and tablets, printers, fax machines, photocopiers.

What You’ll Actually Do
• System Development: Develop, review, and enhance administrative systems, policies, and procedures to improve efficiency.
• Managerial Support: Provide comprehensive administrative assistance to the Director of Program Administration and various hiring managers.
• Event Coordination: Arrange training sessions, workshops, meetings, and public relation events, managing logistics and promotion.
• Data & Reporting: Enter program information into databases, maintain records, and generate quarterly and annual reports for management.
• Office Management: Ensure the office is consistently stocked with necessary supplies, and all equipment is functional and properly maintained.

The Must-Haves
• Background: High School Diploma or GED equivalent required; some college preferred. Must maintain 100,000/300,000 Bodily Injury car insurance and pass a background check.
• Experience: Demonstrated experience supporting a team, navigating high-volume call settings, and possessing basic bookkeeping skills. Proficiency in the use of various office machines is essential.
• Skills: Proficiency with Microsoft Office, including Excel and Word, excellent customer service, strong organizational and administrative skills, and meticulous attention to detail.
• Bonus: Previous experience working in crisis/critical care, strong analytical and decision-making skills in a high-paced environment, and sensitivity to cultural diversity.
