Accounts Payable Specialist

We are seeking a diligent and detail-oriented Accounts Payable Specialist to join our team. This role is crucial for ensuring the accuracy and timeliness of all vendor payments and maintaining robust financial records. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a commitment to accuracy.

Essential Duties

  • Reviews and verifies all vouchers submitted for payment to ensure that all necessary approvals are in place and in line with the company’s purchase to pay policy.
  • Answers vendor payment inquiries professionally and promptly.
  • Analyzes vendor terms and provides valuable recommendations to the Accounts Payable Manager.
  • Prepares Accounts Payable checks and electronic payments, including processing employee expense reimbursements.
  • Assists in the completion of essential Accounts Payable online banking tasks, such as the maintenance of Positive Pay.
  • Monitors the Accounts Payable aging report for accuracy and to ensure timely payments.
  • Maintains all Accounts Payable documentation and files it in a neat and organized manner.
  • Assists with other duties as necessary to support the finance department.
  • Demonstrates accuracy and thoroughness in their work product consistently.
  • Treats others professionally; with respect and consideration in all interactions.

Job Requirements

Physical and Mental

  • Ability to sit for extended periods of time.
  • Ability to work long hours when required.
  • Ability to make sound decisions, formulate and communicate ideas clearly.
  • Must be able to read and understand complex spreadsheets.
  • Must have an excellent math aptitude.
  • Strong Excel skills preferred.
  • Experience with SAP preferred.
  • Experience with Microsoft Office applications is a plus.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills.
  • Must regularly lift and/or move up to 25lbs.

Work/Educational Experience

  • Must be at least 18 years old.
  • Possess a high school diploma or equivalent.
  • Ability to obtain the appropriate license pursuant to the New York State Lottery regulations.
  • Associates Degree in a related field is required.
  • One (1) year of related work experience in Accounts Payable or a similar financial role.
