Administrative Assistant | The Saint Paul Seminary

The Tone:
This is a full-time, on-site role at The Saint Paul Seminary, located in the Greater Minneapolis-St. Paul Area. The seminary is dedicated to preparing priests, deacons, and lay leaders who will serve thriving Catholic parishes, families, and communities, offering a comprehensive range of programs including priestly formation and operating the esteemed Catechetical Institute. This Administrative Assistant role is crucial in ensuring the smooth day-to-day operations, providing essential support to executive staff, and directly contributing to the seminary’s mission.

What You’ll Actually Do
• Administrative Support: Provide comprehensive administrative support by managing a variety of clerical duties.
• Communication Handling: Serve as a primary point of contact, handling phone and email communication with professionalism and efficiency.
• Office Environment: Maintain impeccable office organization, ensuring a productive and welcoming environment for staff and visitors.
• Executive Assistance: Proactively assist executive staff with various tasks and projects as needed.
• Scheduling & Coordination: Manage scheduling and calendar coordination, effectively arranging appointments and meetings.

The Must-Haves
• Background: High school diploma or equivalent, with core domain knowledge in administrative assistance and clerical skills.
• Experience: Demonstrated experience in administrative assistance and strong proficiency in clerical skills. Previous experience in executive administrative assistance is a significant advantage.
• Skills: Exceptional phone etiquette and outstanding professional communication skills (written and verbal); excellent organizational abilities and a keen attention to detail; proficiency in standard office software tools, including the Microsoft Office Suite; ability to work effectively and collaboratively within an on-site team environment.
• Bonus: Familiarity with Catholic traditions and institutions; additional certifications in office administration.
