HSSE Data Analyst / Administrative Support (Contract)

Join a recognized leader in the refining industry as an HSSE Data Analyst / Administrative Support professional. This long-term contract role, slated through the end of the year, offers an excellent opportunity to contribute to the Health, Safety, Security, and Environmental (HSSE) team of a major Oil & Gas company.

About the Company

We are a prominent force in the refining industry, owning and operating three state-of-the-art refineries located in Lake Charles, LA; Lemont, IL; and Corpus Christi, TX. Our extensive operations also include wholly and/or jointly owned 38 active terminals, six pipelines, and three lubricants blending and packaging plants. We are committed to operational excellence and maintaining the highest standards of safety and environmental responsibility.

The Role: HSSE Data Analyst / Administrative Support

As an HSSE Data Analyst / Administrative Support specialist, you will play a crucial role in managing, analyzing, and reporting on vital HSSE data, ensuring accuracy, completeness, and accessibility. You will also provide essential administrative support to the HSSE team, contributing to efficient operations and decision-making processes.

Key Responsibilities

Data Management & Reporting

  • Collect HSSE data from various sources, ensuring accuracy and completeness through diligent checking and revision.
  • Enter and organize data efficiently using computer software such as Excel, SharePoint, Enablon, and Power BI.
  • Maintain and update critical databases and document libraries, with a particular focus on SharePoint.
  • Prepare compelling dashboards using Power BI and Excel to visualize key HSSE information.
  • Generate regular (weekly, monthly, quarterly) HSSE data analysis reports for management and decision-makers.
  • Develop clear and concise data presentation summaries using PowerPoint.
  • Analyze and interpret complex data sets (incidents, audits, compliance) to identify trends, risks, and improvement opportunities, providing actionable insights.
  • Develop and maintain robust data collection systems and databases.

Administrative Support

  • Accurately take meeting minutes and distribute them promptly to the team.
  • Review technical documents for accuracy, adherence to standards, and proper formatting.
  • Upload and organize various documents and files on the company’s SharePoint site.
  • Provide support for ordering supplies and assisting with procurement processes as needed.

Team Collaboration & Professionalism

  • Work closely with HSSE team members to prioritize tasks and understand information requirements.
  • Communicate clearly and effectively with team members and managers regarding findings, progress, and needs.
  • Maintain strict confidentiality of all company information during and after the contract period.
  • Uphold a high level of professionalism and respect in all interactions.

Required Skills & Tools

  • Proficiency in collecting, revising, and validating HSSE data.
  • Advanced skills in Excel for data manipulation and analysis.
  • Strong experience with SharePoint for document management and library maintenance.
  • Competency in Power BI for dashboard creation and data visualization.
  • Proficiency in PowerPoint for creating data presentation summaries.
  • Experience with Enablon (or similar EHS software) is highly beneficial.
  • Familiarity with Word, Outlook, DocuSign, and SnapComms.
  • Demonstrated ability to analyze incidents, audits, and compliance data.
  • Excellent organizational skills for maintaining document libraries and databases.
  • Strong attention to detail for preparing dashboards and regular reports.
  • Ability to identify trends, risks, and improvement opportunities from data.
  • Capable of providing additional administrative support, including technical writing reviews for standards and general office assistance.
