Position: Summer Intern, Order & Sample Operations
e.l.f. Cosmetics is seeking a highly organized and detail-oriented Summer Intern, Order & Sample Operations. This hands-on internship offers a unique opportunity to play a pivotal role in supporting the critical sample request process across all e.l.f. Beauty brands. As an integral part of the team, you will be responsible for managing incoming requests, meticulously tracking inventory and shipments, and ensuring that all product samples are delivered accurately and punctually. This role provides direct exposure to essential operational workflows and offers invaluable experience in supporting high-visibility events, Public Relations (PR) initiatives, and various brand campaigns.
Key Responsibilities:
- Sample Request Management: Proactively monitor and manage the dedicated sample request inbox, serving as the primary point of contact for requests originating from cross-functional teams nationwide.
- End-to-End Ownership: Take full ownership of the sample request process, from initial inquiry to final delivery, ensuring meticulous attention to detail and preventing any oversights.
- Data Tracking & Record Keeping: Utilize Excel proficiently to track all sample requests and shipments, maintaining accurate, organized, and up-to-date records.
- Prioritization & Timelines: Strategically prioritize incoming requests based on critical factors such as event dates, established deadlines, and overarching business needs.
- Cross-Functional Collaboration: Foster close partnerships with the Events, PR, and Brand teams to gain a comprehensive understanding of specific timing requirements, necessary quantities, and unique sample specifications for various initiatives.
- Inventory Monitoring: Continuously monitor sample inventory levels, proactively identifying and flagging instances of low stock or potential inventory issues to relevant stakeholders.
- Process Improvement: Actively seek out and identify opportunities to enhance efficiency and streamline the existing sample management process, contributing to operational excellence.
- Project Support: Provide essential support for special projects and event-related needs as they emerge, demonstrating adaptability and a proactive approach.
Requirements:
- Academic Standing: Must be a rising junior or senior at the time the internship commences.
- Availability: Must be available for the entirety of the internship period, from June 1st to August 28th.
- Organizational Skills: Possess exceptional organizational skills and comfort in managing a high volume of intricate details.
- Composure Under Pressure: Demonstrate the ability to maintain composure and focus while handling a busy inbox characterized by frequent incoming requests and competing demands.
- Prioritization Aptitude: Exhibit a strong capability to prioritize multiple requests effectively and manage competing deadlines with efficiency.
- Excel Proficiency: Be confident and adept in using Excel for tracking orders, updating spreadsheets, and maintaining accurate information.
- Communication Skills: Possess strong written communication skills, enabling clear, friendly, and professional email correspondence.
- Process Adherence & Innovation: Able to diligently follow established processes while simultaneously identifying and suggesting opportunities for continuous improvement.
- Self-Motivation & Dependability: Must be self-motivated, dependable, and comfortable working independently when required.
- Adaptability: Comfortable working in a dynamic, fast-paced environment where priorities may shift quickly.
- SAP Experience: Prior experience with SAP is considered a plus.
