What You’ll Actually Do
• Travel Administration: Assist with preparing and entering travel pre-approval requests by gathering details, estimated expenses, and supporting documentation.
• Expense Report Processing: Prepare travel expense reports and reconcile Purchasing Card (PCard) reports by organizing receipts, invoices, and business-purpose documentation, and follow up for missing items.
• Financial Transaction Support: Assist with preparing Departmental Budget Requests (DBRs) and Departmental Correction Requests (DCRs) by entering account information and gathering supporting records.
• Billing and Accounts Receivable: Prepare departmental or service-related billings, maintain billing documentation, track outstanding payments, and help reconcile records.
• General Business Operations: Provide comprehensive administrative support by scanning, organizing, filing, maintaining spreadsheets, assisting with data entry, and reviewing accounts.
The Must-Haves
• Background: Entry-Level. Currently enrolled as a student meeting university employment eligibility requirements.
• Experience: Basic knowledge of Microsoft Office applications, particularly Excel, Word, and Outlook. Previous office, administrative, accounting, or customer-service experience is preferred.
• Skills: Strong attention to detail, organization, and time-management skills; ability to follow written procedures accurately; professional communication with university personnel; ability to maintain confidentiality.
• Bonus: Experience with Microsoft Excel (spreadsheets, sorting, filtering, data entry); interest in accounting, finance, business administration, management, or a related field; familiarity with university business systems like Workday, AggieBuy, Emburse, or FAMIS.
