Sales Administrator | Al-Futtaim
The Tone:
This is a full-time role at Al-Futtaim Automotive’s DOMASCO division, located in Ad Dawhah, Qatar. This role is crucial in supporting the sales team by efficiently managing all administrative, documentation, and system processes related to vehicle sales. By ensuring accurate data entry, timely reporting, and seamless inter-department coordination, the Sales Administrator directly contributes to a smooth customer journey and overall operational efficiency within an automotive dealership.

• Mission: To manage all administrative, documentation, and system processes for vehicle sales, ensuring accuracy, compliance, and a seamless customer journey.

What You’ll Actually Do
• Sales Reporting & Data Management: Prepare and submit daily, weekly, and monthly sales reports, accurately update sales data in the GAC DMS and live tracking sheets, and maintain precise inventory records for all vehicle types.
• Financial Processing & Invoicing: Review deal calculations and discounts, issue SAP and manual bank invoices after finance approval, and manage petty cash for showroom operations.
• Vehicle Logistics & Operations Coordination: Prepare vehicle templates for freight, track shipments, evaluate goods receipt notes (GRNs), submit vendor invoices, coordinate repairs for vehicle damages, and manage PDI requests and insurance/registration processes to prevent delivery delays.
• Showroom Administration & Customer Support: Monitor demo vehicles, manage associated forms and arrangements, ensure correct display vehicle information, assist walk-in customers, handle showroom calls, and provide administrative relief across multiple divisions as needed.
The Must-Haves
• Background: Bachelor’s degree or diploma in Business Administration, Commerce, Accounting, or a related field, with strong knowledge of automotive sales operations, invoicing, inventory, and documentation processes.
• Experience: 2-4 years of experience in a Sales Administration or Administrative Support role, specifically handling sales documentation, invoicing, and coordinating with large teams.
• Skills: Excellent IT Skills, particularly with Excel and ERP Systems, demonstrated end-to-end deal documentation accuracy, strong coordination skills across sales, finance, logistics, and after-sales, and professional communication and customer handling skills.
