Receptionist | Kelley Construction

The Tone:
This is a Full-time or Part-time role at Kelley Construction, located in Louisville, KY. Kelley Construction is an established commercial and industrial general contractor, delivering a wide range of construction projects from restaurants and medical facilities to warehousing and large-scale industrial builds across many states. This Receptionist role is crucial for ensuring the smooth and efficient daily administrative operations of the office, providing essential support to internal teams, management, and external partners.

• Mission: This role ensures the office runs smoothly and efficiently by performing a wide range of clerical, organizational, and communication tasks, providing support to team members, management, and external partners.
• Tech Stack: Microsoft Office Suite, office management software, document management systems, ERP tools

What You’ll Actually Do
• Administrative Support: Manage incoming communications by answering and routing phone calls, greeting visitors, and handling mail and deliveries.
• Office Operations: Ensure a functional office environment by ordering supplies, coordinating meetings, supporting new employee onboarding, and maintaining office tidiness.
• Documentation & Data Management: Prepare, edit, and proofread various documents, spreadsheets, and reports, along with accurate data entry into internal systems and databases.
• Accounting & Project Support: Process invoices, track purchase orders, assist with vendor communications, and provide administrative backing to project teams when applicable.
• Communication & Coordination: Facilitate internal communications, assist in planning company events and meetings, and serve as a liaison between departments, clients, and vendors.

The Must-Haves
• Background: High school diploma or equivalent required; an associate degree is preferred. Focus on administrative or office operations.
• Experience: 1–3 years of administrative or office experience.
• Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook), strong organizational and time-management abilities, excellent written and verbal communication skills, ability to maintain confidentiality, and a professional, customer-service oriented demeanor.
• Bonus: Experience in construction, project management, or related industries; familiarity with office management software, document management systems, or ERP tools; ability to multitask and adapt to changing priorities.
