Job Title: Project Coordinator Intern

Employment Type: Paid Internship – $20/hour, 5 days per week
The Project Coordinator Intern at VX Media is a hands-on role designed to provide comprehensive experience in the full lifecycle of influencer campaigns. Working closely with the Project Manager and other cross-functional teams (Communications, Media Production), the intern will gain practical skills in managing projects from inception to completion.
Key responsibilities include:
• Campaign Planning & Strategy: Translating initial campaign objectives into detailed and integrated timelines, budgets, and resource allocation plans. This also involves continuously updating these plans as campaign scopes evolve.
• Creator Sourcing & Management: Actively identifying, vetting, and engaging with potential content creators. This includes negotiating and finalizing contracts, securing necessary usage rights, defining exclusivity terms, and establishing clear deliverable schedules for all creators.
• Day-to-Day Execution Management: Driving the operational aspects of campaigns, which involves leading kick-off meetings, coordinating content reviews, facilitating feedback loops, and securing final approvals. The intern will ensure that every creative asset produced aligns perfectly with established brand guidelines.
• Project Tracking & Risk Management: Meticulously tracking the health of project execution by logging blockers, revision cycles, scope changes, and any schedule slippage in real time. A critical aspect of this role is the early escalation of risks and leading rapid problem-solving initiatives to keep projects on track.
• Communication & Stakeholder Management: Maintaining clear, proactive, and consistent communication with internal teams, clients, and external creators. This involves providing structured status updates and managing review workflows efficiently.
• Post-Campaign Reporting: After campaign launch, producing concise and insightful post-campaign reports. These reports will detail execution Key Performance Indicators (KPIs) such as on-time delivery rates, budget adherence, a log of issues encountered, and lessons learned. The intern will also summarize high-level content performance and provide actionable recommendations for future initiatives.
Desired Qualifications:
• Education: Currently enrolled in, or recently completed, a bachelor’s or master’s degree. Preferred disciplines are those that emphasize problem-solving and teamwork skills, such as business, engineering, communications, or computer science.
• Project Experience: Demonstrated hands-on involvement in project-based work, showcasing the ability to plan, organize, and deliver tangible outcomes. This experience can stem from diverse settings including class projects, leadership roles in student clubs, capstone courses, or part-time employment.
• Tool Curiosity: A comfort level with using spreadsheets (e.g., Excel, Google Sheets) and a strong eagerness to learn and adapt to industry-standard project-management platforms.
• Analytical Mindset: The ability to deconstruct broad goals into measurable tasks, track timelines and performance metrics, and effectively synthesize insights for audiences who may not have a technical background.
• Communication & Stakeholder Skills: Possesses strong written and verbal communication abilities. Capable of tailoring communication style and content to suit various audiences, including teammates, senior leadership, and external partners.
• Organization & Follow-through: A proven track record of effectively managing multiple priorities simultaneously, maintaining accurate records, and consistently meeting deadlines with minimal supervision.
• Growth Attitude: A genuine passion for continuous improvement, a proactive willingness to ask questions, and a clear drive to build a career in project and program management.
• Work Eligibility: Must be legally authorized to work in the United States for the entire duration of the internship.
