Job Description
Position: Procurement Intern
Location: Central Procurement Team (CPT), New York
Reporting to: Procurement Specialist and Chief of the CPT
Key Responsibilities:
Daily Procurement Support:
• Attend CPT meetings and take detailed notes.
• Coordinate logistics for candidate interviews and setups for the procurement of individual contractors.
• Assist CPT buyer in preparing draft evaluation reports, including technical and financial evaluation matrixes for procurement processes.
• Draft contracts for new vendors and amendments to existing contracts.
• Support CPT buyers in organizing procurement processes:
• Requests for Quotations (RFQs)
• Invitations to Bid (ITBs)
• Requests for Proposals (RFPs)
• Individual Contractors (ICs)
• Micro purchasing
• Direct Contracting
• Conduct other procurement-related tasks as requested.
Support to the CPT Team’s Operational Sustainability:
• Maintain the contract database.
• Review, analyze, and update client feedback surveys and the CPT website.
• Assist in preparing Standard Operating Procedure (SOP) documents for CPT contract management.
• Notify CPT clients about upcoming contract expirations and follow up on expired/archived contracts.
• Assist in market research tasks for preparing documents prior to launching tenders and during the assessment of value for money.
• Support Procurement Focal Points in preparing presentations for procurement knowledge-sharing sessions.
• Assist with future recruitment of CPT interns.
Required Skills and Experience:
• Students in development, business, international relations, law, or related fields who are:
• Enrolled in a graduate school program (second university degree or equivalent, or higher)
• Enrolled in the final academic year of a first university degree program (minimum Bachelor’s level or equivalent)
• Have graduated with a university degree and, if selected, must start the internship within one year of graduation.
• Working experience in procurement/finance/business administration is an asset, but not required.
• Experience using computers and office software packages (MS Word, Excel, etc.) is an asset.
Language Requirements:
• Fluency in both written and spoken English is required.
• Additional UN languages are a distinct advantage.
Eligibility:
• At the time of application, applicants must meet one of the following requirements:
• Be enrolled in a graduate school program (second university degree equivalent, or higher)
• Be enrolled in the final academic year of a first university degree program (minimum Bachelor’s level or equivalent)
• Have graduated with a university degree (as defined in (a) and (b) above) and, if selected, must start the internship within one year of graduation.
Availability: 6 months – Full-time
Additional Information:
• Interns may be paid a stipend under the conditions prescribed.
• Costs and arrangements for travel, visas, passports, accommodation, and living expenses are the responsibility of the interns.
• The intern will be expected to provide the following documentation once selected:
• Certificate of Good Health from a qualified medical practitioner
• Proof of medical insurance covering the period of insurance
• Proof of enrollment in or graduation certificate
• Copy of valid Passport and Proof of Valid residence and work permit for the duty station for the duration of the internship.
