About the Role

We are seeking a highly organized, proactive, and resourceful Personal Assistant to provide comprehensive support to our dynamic Chief Operating Officer (COO). Our COO is a fast-moving, big-picture thinker, consistently generating new ideas and innovative solutions. The ideal candidate for this role will be intelligent, dependable, and possess a strong ability to work independently and find solutions on their own.

The role encompasses managing a diverse range of personal and professional tasks, coordinating complex travel arrangements, handling various errands, and providing essential support for projects that demand meticulous attention to detail and thoughtful execution.

Responsibilities

  • Anticipate the COO’s needs and proactively identify and solve problems before they arise.
  • Book and coordinate comprehensive travel arrangements, including flights, hotel accommodations, ground transportation, tours, and detailed itineraries.
  • Run errands and coordinate personal and office needs, such as meal arrangements, procurement of supplies, and other ad-hoc requirements.
  • Curate and order thoughtful and appropriate gifts for staff, partners, and special occasions, demonstrating creativity and attention to recipient preferences.
  • Conduct research and purchase items as requested, ensuring efficiency and cost-effectiveness.
  • Ensure the office and workspace remain organized, tidy, and well-stocked with necessary supplies.
  • Communicate effectively with vendors, staff, and partners as needed, maintaining professional and clear interactions.
  • Track tasks and diligently follow up to ensure all projects and intricate details are completed efficiently and on schedule.

  • Previous assistant, administrative, or coordination experience is a significant plus.
