Role Overview

We are seeking a meticulous and experienced Payroll Administrator for a part-time, remote position. This vital role is responsible for ensuring the accurate and timely processing of all payroll activities, maintaining compliance with tax regulations, and supporting our accounting functions. The ideal candidate will possess a strong understanding of payroll processes, tax laws, and employee benefits administration, with a commitment to precision and confidentiality.

Key Responsibilities

  • Manage the end-to-end payroll processing cycle for all employees, ensuring accuracy and timeliness.
  • Accurately calculate and process employee salaries, hourly wages, bonuses, commissions, and various deductions (e.g., health insurance, retirement contributions, FSA).
  • Ensure precise calculation and timely submission of federal, state, and local payroll taxes, including quarterly and year-end reporting (W-2s, 940s, 941s).
  • Administer and process all types of garnishments, levies, and child support orders in strict accordance with legal requirements.
  • Oversee accurate tracking and payment of employee benefit contributions and related deductions.
  • Maintain strict compliance with all federal, state, and local payroll tax laws, labor regulations, and company policies.
  • Assist with payroll-related accounting entries, general ledger reconciliations, and generate accurate financial reports as required.
  • Maintain confidential employee payroll records and ensure data integrity.
  • Respond to employee inquiries regarding payroll, deductions, and taxes in a professional and timely manner.

Qualifications

  • Proven experience (minimum 2-3 years preferred) as a Payroll Administrator, including expertise in processing multi-state payroll and managing various garnishment types.
  • In-depth knowledge of federal, state, and local payroll tax laws and regulations, with a strong commitment to compliance.
  • Familiarity with administering employee benefits, including health insurance, 401(k), and other voluntary deductions.
  • Basic accounting principles and experience with payroll-related financial reporting and general ledger reconciliation.
  • Exceptional attention to detail and accuracy in data entry, calculation, and record-keeping.
  • Self-motivated and highly organized, with the ability to manage time effectively and work independently in a remote environment.
  • Strong communication skills, both written and verbal, for interacting with employees and external agencies.
  • Proficiency with industry-standard payroll software (e.g., ADP, Paychex, QuickBooks Payroll) and accounting software is highly desirable.
  • Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field is preferred.
