Patent Client Services Administrator | Fenwick & West

The Tone:
This is a full-time, experienced role at Fenwick & West, a legal firm. The firm provides comprehensive patent services to its clients. This position is vital for managing client patent portfolios, ensuring high-quality service, and maintaining strong relationships with lawyers, co-workers, and clients. The administrator plays a crucial role in ensuring efficient workflows and meeting all critical deadlines.

• Mission: Manages patent group client portfolios to ensure quality service and efficient workflows while meeting all deadlines.
• Tech Stack: Patent Center, WIPO, Assignment Center, PTO Financial Manager, IP docketing systems, MS Office applications

What You’ll Actually Do
• Document Filing: Assist with drafting and e-filing various legal documents in the USPTO related to patent prosecution, including office action responses, continuation applications, information disclosure statements, and post-grant proceedings.
• Client Expertise: Serve as an expert for specific client filing and reporting requirements, utilizing various client extranets and secure data sites.
• Specification Formatting: Format utility/provisional specifications for USPTO filing, ensuring adherence to MPEP structural and formatting requirements.
• Docket Management: Review and maintain client docket calendars, independently calculate docket dates for a second review, and coordinate with docketing personnel for accuracy and compliance.
• Correspondence Drafting: Draft, prepare, and proofread written correspondence, including emails and memoranda, for internal personnel, clients, and assignees.

The Must-Haves
• Background: Minimum of six (6) years of relevant work experience in a patent prosecution practice.
• Experience: Comprehensive knowledge of U.S. Patents, proficiency in navigating USPTO platforms (Patent Center, WIPO, Assignment Center, PTO Financial Manager), and experience preparing complex IDSs while staying abreast of related rules.
• Skills: Strong knowledge of IP docketing systems, proficiency in MS Office applications, high level of attention to detail, and excellent written, verbal, and organizational skills.
• Bonus: Experience in a law firm setting is strongly preferred.
