Part-Time Administrative Assistant

The American Lamb Board is actively seeking a detail-oriented and highly organized Part-Time Administrative Assistant to join our dedicated team. This role is crucial for supporting our vital marketing, finance, and industry outreach initiatives. With approximately 25 hours per week, this position offers a flexible schedule and a laid-back work environment.

Our core mission is to increase awareness and drive demand for high-quality American lamb products. Our office, situated in Greenwood Village, hosts a small, collaborative team comprising 3 full-time and 2 part-time employees, fostering a supportive and adaptable workplace culture.
Key Responsibilities
Marketing Support
- Organize and manage a comprehensive library of recipes, photos, and marketing graphics.
- Provide dedicated assistance to the Marketing Manager with event logistics and various promotional efforts.
- Maintain and regularly update a detailed database of American lamb retailers (including grocery stores and butcher shops) categorized by market.
Industry Outreach
- Coordinate efficient shipments for promotional materials and meticulously maintain inventory levels.
- Track and organize the progress of a significant grant program involving 150 sheep producers, ensuring smooth operation.
Finance & Administrative
- Maintain robust compliance databases and accurate account records, including handling delinquency correspondence.
- Generate precise invoices based on slaughter reports and auction data, and meticulously track all payments.
- Assist the Executive Director and CFO with critical tasks such as delinquency tracking, preparation for audits, and monthly financial reporting.
General Office Support
- Order and manage office supplies and equipment, ensuring the office is well-stocked and functional.
- Answer incoming phone calls and provide general administrative assistance as needed.
- Support staff with the coordination of meetings, preparation of mailings, and arrangement of travel.
Qualifications
- Proficiency in Microsoft Office Suite, with a particular emphasis on advanced Excel skills.
- Demonstrated strong organizational and effective problem-solving abilities.
- Excellent customer service and strong interpersonal communication skills.
- Proven ability to work independently and efficiently with minimal supervision.
Compensation & Schedule
- Hourly Rate: $26 per hour
- Work Hours: Approximately 25 hours per week
