Job Title: Onboarding Coordinator

About the Role:

We are seeking a detail-oriented and highly organized Onboarding Coordinator to manage the end-to-end new hire experience for all new employees, including Psychiatrists and PMHNPs. This position is crucial for ensuring regulatory compliance through meticulous credentialing processes, facilitating rapid role assimilation via structured training assignments, and coordinating all logistical aspects of new hire orientation. The coordinator acts as the central hub for new teammates, department managers, and People Services throughout the onboarding journey.

Key Responsibilities

Onboarding & Logistics

  • Manage the full onboarding lifecycle from offer acceptance through the employee’s first 90 days.
  • Serve as the primary point of contact for new hires during onboarding.
  • Coordinate start dates, orientations, and onboarding schedules.
  • Ensure completion and accuracy of all onboarding and employment documentation.
  • Coordinate system access, tools, and equipment (HRIS, payroll, email, internal systems) in partnership with IT.
  • Maintain accurate employee records and troubleshoot access or onboarding issues.
  • Partner closely with hiring managers to align onboarding plans, role-specific training, and first-week priorities.
  • Track onboarding progress, follow up on outstanding tasks, and ensure timely completion.
  • Support continuous improvement of onboarding processes and employee experience.
  • Ensure compliance with company policies and applicable employment regulations.
  • Collaborate with department heads and the Learning & Development team to assign appropriate role-specific training curricula and learning paths within the Learning Management System (LMS).
  • Gather feedback from new hires and stakeholders to continuously improve the onboarding experience.
  • Identify opportunities to streamline onboarding workflows, automate processes, and enhance documentation.

Provider Credentialing & Compliance

  • Manage and track all phases of the provider’s credentialing, re-credentialing, and privileging processes in compliance with regulatory bodies (e.g., NCQA, The Joint Commission, state licensing boards).
  • Serve as the primary liaison for new providers, collecting necessary documentation and ensuring accuracy and completion.
  • Maintain robust, confidential digital records and databases related to provider status and compliance.
  • Build knowledge base for payer requirements and forms.
  • Completes provider credentialing and re-credentialing applications for escalated cases; monitors applications and follow-up as needed.
  • Identify any issues or trends and bring them to the attention of management team.
  • Contact medical office staff, licensing agencies, and insurance carriers to complete credentialing and recredentialing applications.

Required Education and Experience:

  • Bachelor’s degree in business administration, Human Resources, Healthcare Administration, or related field required.
  • Minimum of 2-3 years of experience in administrative support, HR coordination, or healthcare administration role.
  • Prior experience with provider credentialing processes and software is preferred.

Skills and Competencies:

  • Exceptional organizational skills and meticulous attention to detail, especially regarding documentation and compliance requirements.
  • Strong interpersonal and communication skills, with the ability to interact professionally with diverse stakeholders, including senior management and clinical staff.
  • Experience with credentialing software, Verifiable highly preferred.
  • Experience with Paylocity and Rippling, and LMS (Learning Management Systems) is highly preferred.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).
  • Ability to manage multiple priorities, work independently in a fast-paced environment, and adapt quickly to changing needs.
  • Demonstrated commitment to maintaining confidentiality and handling sensitive information with discretion.
